Electronics Recycling for Eye Care Practices
For optometry and ophthalmology practices: retire EHR computers and imaging workstations with documented data destruction.
Diagnostic instruments are computers with patient data on them
OCT, fundus cameras, topographers and visual field analyzers either contain a computer or connect to one. They keep scans labeled with patient identifiers, often far longer than anyone expects.
When an instrument is upgraded, the old unit is frequently traded in or sold, and its drive goes with it unless someone removes it first.
Optical and front-desk systems add prescriptions, insurance and payment records to the same network.
Where the data sits

- Optical point-of-sale computers
- Printers and scanners used for intake forms
Back office

What the rules ask of an eye care practice
- Practices that bill insurance electronically are HIPAA covered entities. The Security Rule (45 CFR 164.310(d)(2)(i) and (ii)) requires policies for final disposal of electronic patient data and for removing it before media is reused.
- Texas Health and Safety Code Chapter 181 adds state-level duties for anyone in Texas who collects or stores protected health information.
- A serialized Certificate of Destruction gives you a dated record of which drives were processed and how. We sign Business Associate Agreements when you need one.
EverTrade is not R2 certified; downstream material is routed through certified partners. See our standards and practices.

Eye Care Practices FAQ
Do you take OCT and other diagnostic instruments?
Call us with the make and model. If you are trading the unit in, we can handle just the internal drive so the scans do not leave with it.
Will you sign a Business Associate Agreement?
Yes. Ask for one when you schedule and it will be in place before collection.
Can you pick up from our practice?
Business pickup is available for qualifying loads and is quoted by the quantity and type of equipment. Small loads can be dropped off at our Sugar Land facility.
What documentation do we get?
A serialized Certificate of Destruction, issued within 24-48 hours of processing at our Sugar Land facility.
